General Purpose

The Project and Event Coordinator is a part of the Business and Workforce Development team and primarily split their time between the Church Street Marketplace (CSM) and Love Burlington brand which provides citywide business support. The Church Street Marketplace District is a business improvement district created in 1981 that includes the public street and all properties that abut Church Street between Pearl and Main Streets. Each year we host some 1.5 million visitors to shop, eat, meet and greet, mark milestones, or just pass the time of day. The Marketplace hosts 30+ events annually including signature events like the Annual Sidewalk Sale, Festival of Fools, and Jazz Fest.

Love Burlington is run by the City of Burlington to support our small business community and works to create events that celebrate the Burlington community by highlighting local artists, creators, chefs and retailors. Love Burlington is excited to partner with Burlington City Arts to produce both the BTV Market and Winter BTV Market in City Hall Park. These markets showcase an eclectic collective or artists, makers, and chefs plus games, music, and exceptional vibes.

The Project and Event Coordinator supports programming for the Business and Workforce Development team. This position will work closely with the Assistant Director, Downtown Projects and Programs and Church Street Marketplace Coordinator to plan, host, and execute a number of public events and programs throughout the year. In this role you will get hands-on experience in managing events, collaborating with businesses and event partners, set-up and break down of event equipment, and project management.

Pay Grade 16: $27.00 - $30.09 

Essential Job Functions

  • Support all aspects of event production for the department including planning, budgeting, insurance, staffing, production and operations.
  • Work closely with the Church Street Marketplace Maintenance Team and City Hall Park Maintenance Team, to coordinate on projects and events.
  • Oversee the operation of the BTV Market each Saturday June through September  and BTV Winter Market in November and December as well as additional events including O.N.E. World Market, Earth Day Celebration, Sidewalk Sale, Howl’ween Dog Costume Contest and Summer Music Series. This includes load-in and load- out of vendors, set-up and break-down of tents, putting out games and activities, help to provide access to utilities, engaging with customers, and troubleshooting any day-of issues.
  • Support the contract, insurance and payment process for all artists, performers, vendors for festivals and events, production companies, security services and other staff in collaboration with Administrative and Outreach Specialist
  • Attend event planning meetings with relevant partners, and support event planning and logistics. Assist with scheduling and layouts and track program attendance.
  • Work outdoors, handle physical tasks, and conduct work with professionalism and compassion for everyone encountered.
  • Contribute to effective relationships with third-party vendors, organizations, cultural and community organizations, and Marketplace personnel.
  • Other duties as assigned related to the Business and Workforce Development team's mission or to support partners or stakeholders.
  • Work will generally take place outdoors, and the position will require a significant amount of time on the Marketplace and in City Hall Park in all weather conditions. Indoor office time will also be part of the schedule. Some remote work may be possible on non-event days.
  • Position will be 40-hours per week. Must be available to work evenings and weekends primarily June – September and in December.

Qualifications/Basic Job Requirements

  • Ability to actively support City diversity, equity, and cultural competency efforts within stated job responsibilities and work effectively across diverse cultures and constituencies.
  • Demonstrated commitment to diversity, equity and inclusion as evidenced by ongoing trainings and professional development.
  • Associates degree or higher in project management, community development, or related field. 
  • Bachelor’s degree preferred
  • 1-2 years of related experience preferred
  • Strong interest in Community Development, Placemaking or Event Management.
  • Excellent verbal and written communication skills.
  • Demonstrated skill in creative problem-solving, can-do attitude, and staying calm under pressure.
  • Strong attention to detail.
  • Experience working in a diverse and inclusive organization is a plus.
  • Computer proficiency, especially in Google for Work (Drive, Docs, Sheets, Slides, Gmail) and Microsoft (Excel, PowerPoint, Word).
  • Ability to work outside in all types of weather, kneel or stand for periods of time, and be able to lift 50 pounds, which are all needed for on-site events.
